Automate HR processes
An actor from the CAC40, gave us the daring challenge of simplify, harmonize and automate their HR processes. The Group's HR entity is composed of several sub-teams, including one dedicated to the recruitment and management of young talent, which ensures regular monitoring of its workforce, in order to anticipate their needs and support them in their professional career.
The challenges are multiple: gain efficiency, reduce errors, improve communication between actors, ensure optimal monitoring of employees and facilitate strategic decision-making. One of the main challenges lies in the management of its young talents, who represent an important part of the workforce and a source of innovation for the Group.

The HR department was struggling to get traceability on the paths of these young talents, to understand their wishes and motivations, and to gather information on why they were leaving or wanting to stay with the company. Communication between the various actors was often fragmented and the follow-up and decision-making processes were long and complex.
Notre solution
Faced with the challenges encountered by the HR team to ensure effective and personalized follow-up, it is becoming necessary to implement an innovative solution adapted to these challenges. This part discusses setting up a Sharepoint, a Microsoft management tool, which will not only centralize information and facilitate communication between the various actors, but also optimize HR processes and offer real-time monitoring for apprentices, VIE and interns.
Les features

The SharePoint set up allows you to add profiles manually or in bulk, and to fill in information about their profile (contract, position, program, start and end dates of contract). It thus facilitates the centralization of information and allows better horizontal communication between them, managers and HR.

The manager has access to a dashboard with the list of his collaborators (interns, VIE, apprentices), and the various HR teams have access to dashboards corresponding to their entities.

For example, before the end of the contract, a questionnaire is automatically sent to interns and their manager to gather information on the progress of the mission and future prospects. This saves time, prevents oversights and ensures regular and consistent follow-up. An email automation process also makes it possible to send an email according to the recipient's action: if he opened and answered it, if he opened it but did not respond, he did not open it at all... for even fewer emails to send manually and therefore, more time saved!
